Step 1

Receive

We set you up with a dedicated inbox like invoices@yourcompany.invoicesdoneright.com. Your vendors email it directly, or your team forwards from their normal inbox. Subject lines don't matter. Forwards with notes attached still work. Multiple attachments in one email get split apart automatically.

PDFs, image scans, phone photos, even invoices typed straight into the body of an email all come in the same door. We watch the inbox 24/7. The second something lands, the system goes to work.

Step 2

Read

When an invoice arrives, four independent AI models read it at the same time. Each one extracts the same fields independently (vendor, invoice number, date, line items, totals, tax, due date, whatever your workflow needs). Then we compare their answers.

When all four agree, that field gets a high confidence score. When they don't agree, that field gets flagged for a human to look at. This is the trick that makes the system reliable.

The result: every field on every invoice gets a confidence rating before any human ever looks at it.

Step 3

Verify

Everything lands in a simple review queue. Your team sees the invoice on one side and the extracted fields on the other. Reviewing an invoice takes about five seconds: glance, click approve. Even reviewing every single invoice is dramatically faster than typing them in by hand.

When you're confident in how the system handles your invoices, you can flip on full automation and only see the ones that need human eyes. Start cautious. Loosen the reins on your own timeline.

Step 4

Push

Approved invoices flow directly into your accounting or job-costing system. Vendor lookup, GL coding, job number assignment, whatever your normal workflow already does. The invoice file itself gets attached to the entry in your system so your auditors and your team can always pull up the original.

If there's a conflict (a vendor name doesn't match anything in your system, a job number doesn't exist, an amount is way outside your normal range), we kick it back to the review queue with a note explaining what's off. Nothing creates a mess in your books.

Real invoices don't look like the clean examples in product demos. Here's the stuff we built this system to handle, because we kept seeing it.

Phone photos at an angle

Taken on a job site, in bad lighting, with a thumb in the corner of the shot.

Bundled PDFs

One attachment containing 17 invoices smashed together. We split them apart and process each one.

Invoices typed in the email body

No attachment at all. Just plain text in the email itself. We read it the same way.

Scanned faxes

Grainy, crooked, halfway cut off at the top. We've seen worse.

Duplicates

Vendors who attach the same invoice three times for no obvious reason. We catch the dupes so you don't double-pay.

Statement-style summaries

A single document listing 30 invoices with totals at the bottom. We pull each line out as its own entry.
